Main preparation
- Embryo records
Where the embryos and records are
Storing clinic, formation and storage records; the original clinic confirms uncertain details.
- Medical assessment
HRC acceptance and assessment
HRC confirms records, acceptance, and later treatment.
- Matching
Matching and project preparation
We coordinate matching; review legal, insurance, and budget matters separately.
Storage and receiving-clinic preparation
We ask where your embryos are stored and which records are available, then help communicate HRC Fertility’s receiving requirements. The clinical team determines acceptance and suitability for treatment.
For embryos at HRC, ask the treating team about next steps. For embryos elsewhere, confirm records review and receiving conditions before coordinating release and transport.
Carrier evaluation, matching, and legal preparation are still needed. Discuss the order of matching and medical work for your project.
Information for an initial inquiry
Start with a summary; send detailed clinical records through the receiving team’s approved channel.
- Country, region, and storing clinic.
- Number of embryos, formation date, and available laboratory records.
- Any embryo testing reports.
- A summary of gamete sources and existing consent documents.
- Your location, treating team, and proposed timing.
Mark unavailable records as pending. For example: “My embryos are stored at another clinic. I have storage records and would like to discuss acceptance review and matching.” The receiving team will specify the documents and submission method.
HRC Fertility acceptance assessment
The receiving team reviews record completeness, additional tests, and laboratory requirements for receipt and treatment preparation.
Records review, consent to storage, and suitability for a particular treatment are different stages. The medical team explains subsequent requirements. Testing results or previous treatment do not guarantee a current outcome.
Embryo identifiers, quantity, and storage status follow the storing institution’s records. The relevant institutions resolve discrepancies.
Transport from another clinic
Transport requires release by the storing institution, coordination with the receiving laboratory, and specialist shipping conditions. We assist with contact; the two institutions and transport provider confirm the requirements.
- Storing institution: records, release, and consents.
- Receiving institution: acceptance conditions, contact, and handover.
- Transport provider: method, cost, handover, and changes.
- Client: authorizations, documents, and payments.
Confirm receipt arrangements, release conditions, and expected handover before shipping. Ask whether the quote covers the container, collection, delivery, and cross-border paperwork. The institutions reconcile handover records after receipt.
Conditions for matching preparation
We coordinate introductions, conversations, and matching preparation within the agreement. Clarify medical, legal, and service conditions before matching; further evaluations and documents are still needed after mutual acceptance.
Whether embryo acceptance and matching can proceed together depends on the requirements. If work runs in parallel, understand costs incurred first and how services already performed are handled if acceptance conditions change.
See screening and matching for the evaluations, discussions, and preparation after a match.
Costs when you have embryos
Costs may still include records review, additional testing, release, transport, storage, transfer, and medication. Review surrogacy services, carrier-related expenses, legal work, and insurance separately.
Separate included items from additional charges, particularly each clinic’s fees, the storage period covered, and the transport quote. See costs and budget for categories and payment arrangements for settlement after changes.
Changes to records or arrangements
Missing records, additional receiving requirements, evaluation results, or travel changes may affect progress. Clinicians explain medical matters; we help communicate the effects on matching, appointments, and other project work.
For rematching, a pause, or withdrawal, review completed work, third-party expenses, remaining funds, and later charges under the applicable terms. Keep important changes in writing.
Questions to ask
- Who will medically assess the existing embryos?
- Which records are still needed from the storing clinic?
- What must be completed before matching?
- Who handles medical care, transport, matching, and legal work?
- How do changed acceptance or matching conditions affect plans and costs?
Tell us the storage location and available records to begin discussing service scope and contacts.
